What this category gathers and how the preparatory work is organised
This category holds the companies devoted to event organisation: organisers and agencies that take on the whole commission, companies specialising in a single stretch of the project, and suppliers who provide kit and technical service. The events sector has grown and specialised in recent years, and with it the number of companies coexisting on the same build, so a good part of the work consists of knowing who to call, and in what order.
Organising an event is, first of all, ordering a project: setting the objective and the audience, choosing the date and the venue, closing the budget, contracting the suppliers and drawing up the schedule that synchronises everyone. On that base the technical work then rests — event production, event setup, event structures — along with the kit that goes on stage, in event products and event rental. Control comes from the documents. Running orders, the schedule and venue plans are sent with time to spare and with confirmation of receipt; the technical agreement with each artist or company is closed in the technical rider and counter-rider. From there each area works with its own documentation: professional sound, professional lighting and stage structures supply their specs, and the same logic of phases that organises audiovisual production applies to the event calendar.
Who does what in organising an event
There is no single division of labour. At a small event one person takes on the organisation, the production and dealings with the venue; at a large festival or conference each of those functions has its own lead and its own team. What does not change is the set of areas somebody has to cover, whatever they are called in each organisation.

Event management: planning, coordinating and controlling the project
Event management is the part of the commission nobody sees on the day: the planning and follow-up work through which an event manager keeps the schedule, the cost and the companies involved under control, from the first meeting to the post-event evaluation.
Planning
Objectives, audience, format, date and venue. This is the phase that fixes the project’s scope and conditions everything that follows.
Coordination
Dividing tasks and synchronising the companies involved: who goes in, when and with what is set by the schedule, not by each firm’s availability.
Suppliers
Selection, contracting and follow-up through to delivery, with headroom for manufacture, transport and last-minute changes.
Budget
Financial control of the project: forecast, sign-off with each supplier and tracking of variances while the event is being prepared.
Follow-up
The status of each task, deadlines and issues held in a single place the team can consult, with communication centralised through the lead.
Delivery and close
Build, event and de-rig, and then the evaluation: attendance, coverage, actual cost and the perspective of the technical team and the suppliers.
Corporate formats: conventions, meetings and internal events
Part of the event organisation calendar is taken up by corporate events: those a company organises for its own people or for its clients. The audience and the objective change, the method does not — the same schedule, the same technical suppliers and the same financial sign-off as any other project.
